Role Overview
The Logistics Coordinator is responsible for managing trade show shipments from booking through delivery and return while working full-time from our Chicago office. This role requires strong attention to detail, clear communication, and the ability to manage multiple deadlines in a fast-paced environment.
You will work closely with operations leadership, carriers, show management, and clients to ensure every shipment is handled correctly and professionally.
Key Responsibilities
- Coordinate trade show shipments from initial booking through final delivery and return
- Communicate with clients to gather shipment details, deadlines, and show requirements
- Review show manuals, target dates, marshaling yard rules, and exhibitor instructions
- Book and manage carriers and monitor pickups, transit, and delivery
- Track shipments in real time and proactively resolve issues or delays
- Provide timely updates to clients and internal teams
- Maintain accurate shipment records, documentation, and internal notes
- Support post-show returns, billing review, and issue resolution
- Collaborate closely with sales and operations teams to ensure accuracy at booking
Requirements
- Strong organizational and time management skills
- Clear written and verbal communication
- Ability to manage multiple shipments and deadlines simultaneously
- Comfortable working in a fast-paced, deadline-driven office environment
- Proficiency with email, spreadsheets, and logistics systems
- Ability to problem-solve and make quick decisions
- Previous logistics, freight, or trade show experience preferred but not required
